Project Co-ordinator

£20,000 - £24,000 pa, Leicester, FTC until May 2019 with a possibility of being extended

We are currently looking for a Project Co-ordinator to join us to help assist and support the Head of Programmes in the delivery of the Business Lincolnshire Programme and the D2N2 Growth & Innovation Programme. The purpose of the role is to ensure that the two services are delivered in accordance with the ERDF rules and regulations.

Business Lincolnshire Programme duties:

• To co-ordinate the day to day processing requirements for the Business Lincolnshire Programme ensuring that the CRM system is maintained and all supporting evidence and documentation is recorded in the project control sheets.

• To support the Scale Up Adviser on a day to day basis ensuring the effective implementation and use of the project systems and that the audit trail is maintained.

D2N2 Growth & Innovation Programme duties:

• To work closely with the N2 Programmes Team to ensure that all evidence is obtained from project beneficiaries to support claims for grant reimbursement.

Main Duties and Responsibilities:

• To work as part of the wider programme delivery team, working towards continually monitoring and enhancing operating processes to facilitate the successful and effective delivery of the Business Lincolnshire and D2N2 Growth and Innovation Programmes.

• To set up and maintain a central project file to include all key documents related to the Business Lincolnshire and D2N2 Growth & Innovation Programmes.

• Development and updating of project control sheets to reflect the position of a project at key milestone stages.

• To assist the Head of Programmes in the development of processes and documents for the Business Lincolnshire and D2N2 Growth & Innovation Programmes, including supporting internal project delivery personnel and external contractors with guidance notes and documents.

• Co-ordinate the programme audit trail to ensure that files are maintained and all evidence meets with both internal EMB and external ERDF compliance requirements and regulations.

• Provide day-to-day administrative support to the Scale Up Adviser and the N2 Programme Team, ensuring that all project output forms are received and recorded on the project control sheets, as well as the CRM database.

• Support the Head of Programmes to co-ordinate external contractors, ensuring that communication channels are maintained and regular updates are obtained with regard to progress against targets, issues arising, and future activities.

• To update and maintain accuracy of the ‘Tractivity’ CRM system for the Business Lincolnshire Programme, including liaison and collection of data and evidence from the Scale Up Adviser.

• Daily review of referrals received via the ‘Tractivity’ CRM system and ensuring that such referrals are signposted to the Scale Up Adviser.

• Raise awareness with the Head of Programmes of forthcoming issues to be communicated to all project delivery personnel.

• To receive and administer copies of grant claims via the N2 Programme Team ensuring that all evidence is available to support the expenditure incurred by the grant beneficiary.

Essential Skills and Experience:

• High level IT skills with the experience in the use of Microsoft Business applications (particularly Excel and Word)

• Excellent verbal and writing skills

• Demonstrate good time management and ability to deal with the peaks in workload

• Respect confidentiality

• Demonstrate a high degree of accuracy, attention to detail and analytical skills

• Confident, diplomatic and an individual who uses a professional approach and appearance in their work

• Good interpersonal skills

• Current driving license and access to regular transport


• Educated to degree level or equivalent

• ERDF Project experience and knowledge of the latest ERDF regulations

• Effective presentation skills

• Relevant experience of working on projects involving a range of delivery partners or contractors

• A knowledge and understanding of how to operate and optimise Social media channels such as Twitter, Facebook and GooglePlus
